Everything is recorded
The audit trail
Every change saved in Pulse is written to the audit trail: the time, who made it, the record, what was done, and the values before and after. Pulse can add to the trail but never change or delete an entry, not even for an administrator.
This protects you as much as the hotel. If a figure is questioned, the trail shows exactly who did what and when. It is also why you must never share your sign-in: the trail records the name that signed in.
Money is posted, never edited
A charge on a guest's bill (the folio), a payment or a journal is never edited or deleted. A mistake is put right by a reversal with a reason, which leaves both the original and the correction visible.
- Charged the wrong room? Reverse the charge with a reason, then post it to the right folio.
- A day already closed by night audit? The correction is posted on today's working date and names the date it relates to.
Every automatic posting (a room charge, a minibar item) also carries a unique key, so even if night audit is run again it never posts the same thing twice.
Personal data
Pulse holds personal data about guests and staff, and treats it under the Nigeria Data Protection Act 2023:
- The most sensitive details (bank details, NIN, BVN, pension PIN, pay and guest ID numbers) are stored encrypted. The audit trail records that such a field changed, never its value.
- Uploaded documents such as ID scans are shown only to people whose role allows it.
- A guest's marketing messages depend on their consent.
- A guest can ask to be forgotten: their personal data is erased everywhere, while bookings and bills stay for the accounts.
Your part Only look at the records your work needs. Never copy guest or staff details onto paper, a personal phone or a chat group. If you think personal data has been exposed, tell your manager at once: the hotel has 72 hours to report a breach to the regulator.
You have finished the lessons
Next comes the course test: 10 questions drawn at random. You need 70% to pass.
